This policy explains what information we collect through this website, why we collect it, how we use and protect it, and what choices you have. Please read it alongside our terms of use.

1. Who we are

This website is owned and operated by Arsaviva Technologies Private Limited, a company incorporated under the laws of India, with its registered office at Ward No. 1, A.T. Road, Bokakhat – 785612, Assam, and its principal place of business at 2nd Floor, Keshab Tower, GS Rd, South Sarania, Lachit Nagar, Guwahati, Assam 781007, India.

For the purposes of this policy we are the party that decides why and how your information is handled. If you have any question about it, or wish to exercise any of the rights described below, write to bd@arsaviva.com.

2. What this policy covers

This policy applies to information collected through this website. It does not apply to data belonging to our clients that we handle in the course of a project, which is governed by the contract and non-disclosure agreement signed for that engagement — see section 10.

It also does not apply to our software products, each of which is published on its own website with its own privacy policy. Where this website links to one of them, this policy stops at the link.

3. Information we collect

When you voluntarily send us electronic mail / fillup the form, we will keep a record of this information so that we can respond to you. We only collect information from you when you register on our site or fill out a form. Also, when filling out a form on our site, you may be asked to enter your: name, e-mail address or phone number. You may, however, visit our site anonymously. In case you have submitted your personal information and contact details, we reserve the rights to Call, SMS, Email or WhatsApp about our products and offers, even if your number has DND activated on it.

In addition to the information you give us directly, our servers keep standard technical logs containing your IP address, browser type and version, device and operating system, referring page and the pages you visited. These are generated automatically whenever any website is visited, and we use them to keep the site secure and to understand which pages are useful.

We do not ask for, and you should not send us through this website, any sensitive personal information — for example financial account details, government identification numbers, or health information. If you need to share something confidential, contact us and we will arrange a suitable way to receive it.

4. How we use your information

We use the information you give us to:

• respond to your enquiry and correspond with you about it;
• understand what you are trying to solve, and assess whether we are able to help;
• prepare and discuss proposals, scopes and quotations at your request;
• contact you about our products, services and offers, as described in section 5;
• maintain a record of enquiries received and of the authorisation given with them;
• keep this website secure, diagnose faults and prevent misuse or fraud; and
• comply with any legal, regulatory or accounting obligation that applies to us.

We do not use the information you give us to make any automated decision that produces a legal or similarly significant effect on you.

5. How we contact you, and how to stop it

The enquiry form on this website carries a mandatory authorisation checkbox. It must be ticked before an enquiry can be submitted, and it authorises us and our representatives to contact you by email, SMS, WhatsApp or telephone, including where your number is registered under DND or NDNC.

When you submit the form, we record the exact wording you agreed to, the version of that wording, and the date, time and IP address from which it was given. We keep that record so that both sides have clear evidence of what was authorised and when.

You can withdraw this authorisation at any time, without giving a reason, by writing to bd@arsaviva.com or calling +91 84028 53788. We will stop contacting you for marketing purposes once we have acted on your request. We may still need to contact you about an enquiry or engagement already in progress.

6. Cookies and analytics

This website sets one session cookie, which exists only to protect the enquiry form against automated submissions. It carries no information about you and is discarded when you close your browser.

We also use Google Analytics to understand how this website is used — which pages are visited, for how long, and roughly where visitors come from. Google Analytics sets its own cookies and collects usage data, including an approximate location derived from your IP address and information about your device and browser. That information is processed by Google under its own terms.

You can refuse or delete cookies through your browser settings, and you can opt out of Google Analytics using the browser add-on Google provides for that purpose. Refusing cookies will not prevent you from reading this website, although the enquiry form may not work.

7. Who we share information with

We do not sell, rent or trade your information, and we do not share it for anyone else’s marketing. We share it only in the following circumstances:

• Service providers. With the suppliers who help us run this website and our business — such as our hosting provider, email provider and analytics provider — and only to the extent each needs it to provide that service to us.
• Our representatives. With the members of our own team who need it in order to respond to you.
• Professional advisers. With our auditors, accountants, insurers and legal advisers, where they need it in that capacity.
• Legal obligations. Where we are required to disclose information by law, by a court, or by a competent authority, or where disclosure is necessary to establish, exercise or defend a legal claim.
• Business transfer. If our business, or part of it, is reorganised, merged or transferred, information may pass to the acquiring party, who would remain bound by terms no less protective than these.

Some of these providers may process information on servers located outside India. Where that happens, we take reasonable steps to satisfy ourselves that appropriate safeguards are in place.

8. Artificial intelligence

Some of the systems we build for clients use artificial intelligence provided through a third-party API. Where that applies to a project, the data handled is the client’s, the arrangement is set out in the agreement signed for that project, and the provider’s current data-handling terms are confirmed in writing before any such processing begins.

Information submitted through the enquiry form on this website is not used to train any artificial intelligence model.

9. How we keep information secure

We take reasonable technical and organisational measures to protect the information you give us against loss, misuse, unauthorised access, disclosure or alteration. Access is limited to those within our organisation who need it, enquiry records are not publicly accessible, and this website is served over an encrypted connection.

No method of transmission over the internet and no method of electronic storage is completely secure, however, and we cannot guarantee absolute security. Any information you send us over the internet is sent at your own risk.

10. Client data during a project

Data belonging to our clients and handled during a project is governed by the contract and non-disclosure agreement signed for that engagement, not by this policy. Client data remains the client’s property at all times, is never used for any purpose outside that engagement, and is handled in accordance with the terms agreed for it.

11. How long we keep information

We keep the information you give us for as long as it remains necessary for the purposes set out in this policy — which includes responding to your enquiry, maintaining the relationship that may follow from it, and keeping the record of authorisation described in section 5 — and for as long afterwards as we are required to keep it in order to meet a legal, regulatory or accounting obligation, or to establish or defend a legal claim.

You may ask us to delete your information sooner, as described in section 12, and we will do so unless we are required to retain it.

12. Your rights

Subject to applicable law, you may ask us to:

• tell you what information we hold about you, and why;
• correct any information that is inaccurate, incomplete or out of date;
• delete information we no longer have a reason to keep;
• stop contacting you for marketing purposes; or
• withdraw a consent you previously gave us.

To make any of these requests, write to bd@arsaviva.com. We may need to verify your identity before acting, so that information is not disclosed to the wrong person. We will respond within a reasonable period, and we will not charge you for making a request.

If you are not satisfied with how we have handled your information or your request, please tell us first so that we have the opportunity to put it right. You also retain any right you may have to complain to the relevant authority.

13. Children

This website is intended for businesses and is not directed at children. We do not knowingly collect information from anyone under the age of eighteen. If you believe a child has given us information, please contact us and we will delete it.

14. Other websites

This website may link to websites operated by other organisations, including our own product websites. We are not responsible for the privacy practices or the content of any website we do not operate. When you follow a link away from this website, we encourage you to read the privacy policy published there.

15. Changes to this policy

We may update this policy from time to time to reflect changes in how we operate or in applicable law. The version published on this page is the version in force, and the date at the top shows when it was last changed. Where a change is significant, we will take reasonable steps to bring it to the attention of people we are in contact with.
